Terms & Conditions

These terms govern your use of the IoH Sri Lanka website and your purchase or use of our memberships, applications, events, training and related services.

Last updated: 6 September 2026

1. Agreement and eligibility

These Terms & Conditions ("Terms") form an agreement between you and the Institute of Hospitality Sri Lanka ("IoH Sri Lanka", "we", "us" or "our"). By using this website, creating an account, submitting an application or placing an order, you agree to these Terms and our Privacy Policy.

You must be legally capable of entering into the transaction. If you act for an organisation, you confirm that you have authority to bind it. A parent or guardian must approve a transaction made by a minor where required by law.

Product-specific information shown during registration or checkout—including the description, price, date, eligibility rules and any stated cancellation deadline—forms part of these Terms. If it conflicts with a general provision here, the product-specific term applies to that transaction, subject to mandatory law.

2. Services, availability and applications

We aim to keep website information accurate, but programmes, speakers, venues, schedules, membership benefits, fees and availability may change. Images and general descriptions are illustrative unless expressly stated otherwise.

An application, registration or payment receipt does not by itself guarantee membership, certification, admission, a seat, employment, visa approval or approval by an external professional body. Where eligibility or verification is required, the service is confirmed only after the relevant review and acceptance.

We may correct an obvious pricing or description error before fulfilment. If the correction materially affects your order, we will tell you and allow you to confirm or cancel it for a refund of the affected amount.

3. Prices and payment terms

  • Prices and accepted currencies are those displayed or quoted when you order. Any applicable taxes, payment fees or currency-conversion charges will be disclosed where known before confirmation.
  • Payment must be authorised and received in cleared funds by the stated deadline. We may use a third-party payment gateway, whose terms and privacy notice also apply.
  • Your card issuer or payment provider may apply exchange rates, international transaction fees or other charges that we do not control.
  • You authorise us and our payment provider to process the amount shown for the selected service. We do not authorise recurring charges unless the recurring nature, amount or calculation method, frequency and cancellation method are clearly disclosed and separately accepted.
  • If a payment is declined, reversed, charged back or reasonably suspected to be unauthorised or fraudulent, we may pause fulfilment while it is resolved.
Card security: Never send a full card number, PIN or CVV/security code by email, WhatsApp, an ordinary contact form or uploaded document. Online card details should be entered only into the secure payment gateway presented at checkout.

4. Our responsibility after payment

After successful payment, we will provide a receipt or confirmation using the contact details supplied and take reasonable steps to deliver the purchased service within the timeframe displayed or otherwise agreed. Delivery may mean confirming registration, granting access, reviewing an application, issuing eligible documents, reserving attendance, or providing the relevant programme or benefit.

You must provide complete and accurate information and promptly supply requested documents. We are not responsible for delay caused by incorrect details, your failure to respond, bank/payment-provider processing, external-body decisions, or events outside our reasonable control.

If we cannot provide a paid service, we will offer an appropriate remedy, which may be rescheduling, a suitable alternative, account credit, or a refund of the affected amount. This does not reduce any mandatory remedy available under applicable consumer law.

5. Cancellation, postponement and refund policy

Cancellations by you

Send a cancellation request to the contact address below as soon as possible, quoting your name, service and payment reference. Eligibility depends on the product-specific terms disclosed before purchase and how much of the service has already been performed.

  • A cancellation received before a stated booking deadline may qualify for a full or partial refund, less any clearly disclosed and legally permitted non-recoverable costs.
  • Fees may be non-refundable after an application review has started, digital access or personalised material has been supplied, a certificate has been issued, an event cancellation deadline has passed, or the service has otherwise been fully delivered.
  • Failure to attend an event or use an available service does not normally create a right to a refund.
  • Duplicate payments and verified payment errors will be refunded.

Changes or cancellation by us

We may make reasonable programme changes. If we cancel a paid service without providing it, or make a material change you do not accept, we will offer an appropriate alternative or refund the affected service fee. Reasonable changes to speakers, running order or venue within the same area do not normally entitle you to a refund unless they materially change the service.

How refunds are made

Approved refunds are normally returned to the original payment method. Processing time depends on the gateway, card network and bank. We may request reasonable information to verify the transaction but will never ask you to send a CVV or PIN. Nothing in this section excludes refund, repair, replacement, repeat performance or other rights that cannot legally be excluded.

6. Accounts, suspension and termination

You are responsible for keeping login details confidential and for activity under your account. Tell us promptly if you suspect unauthorised access.

We may restrict, suspend or terminate access where reasonably necessary to investigate or address:

  • a material or repeated breach of these Terms or applicable membership/professional rules;
  • non-payment, chargeback, fraud, impersonation or false information;
  • security threats, misuse, harassment, unlawful conduct or harm to other users or IoH;
  • a legal, regulatory or court requirement; or
  • discontinuation of the relevant service.

Where appropriate, we will give notice and a reasonable opportunity to remedy the issue. We may act immediately where delay could cause harm, compromise security or breach law. Termination does not erase payment obligations or rights that arose beforehand. Any refund will be determined under Section 5 and mandatory law.

7. User responsibilities and prohibited activities

You must provide accurate information, comply with applicable laws and programme rules, respect others, and use the website and services only for legitimate purposes. You must not:

  • submit false qualifications, identities, payment information or documents;
  • access another person's account or attempt to bypass authentication, permissions or security controls;
  • introduce malware, probe vulnerabilities, scrape at unreasonable scale, disrupt services or misuse APIs;
  • copy, resell or commercially exploit restricted content, membership benefits, tickets or credentials without permission;
  • upload unlawful, infringing, discriminatory, threatening, defamatory or privacy-invasive content; or
  • use the site for spam, fraud, unsolicited marketing or any unlawful activity.

8. Intellectual property and third-party services

Unless otherwise stated, this website's content, branding, layout and materials are owned by or licensed to IoH Sri Lanka. We grant you a limited, revocable, non-transferable right to use them for personal, non-commercial access to our services. No ownership rights are transferred.

Third-party websites, payment providers and embedded services operate under their own terms. Links do not make us responsible for their content, availability or independent conduct.

9. Disclaimers and limitation of liability

We will provide our services with reasonable care and skill. To the fullest extent permitted by law, we are not liable for indirect, incidental, special or consequential loss, loss of opportunity, profit, data or reputation, or loss caused by an event outside our reasonable control.

To the fullest extent permitted by law, our total liability arising from a particular paid service will not exceed the amount you paid us for that service. For a free service, our liability is limited to the minimum amount permitted by applicable law.

Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited, including liability for fraud or fraudulent misrepresentation, wilful misconduct, or death or personal injury caused by negligence where applicable. Nothing removes mandatory consumer rights.

10. Governing law and disputes

These Terms and any non-contractual dispute are governed by the laws of Sri Lanka. Subject to any mandatory consumer right to bring a claim elsewhere, the courts of Sri Lanka have jurisdiction.

If you are an international consumer, mandatory protections and dispute rights in your country may still apply. Before starting formal proceedings, please contact us so we can try to resolve the matter promptly. You may also seek assistance from the Consumer Affairs Authority of Sri Lanka or another competent consumer authority.

If part of these Terms is invalid or unenforceable, it will be adjusted or removed only to the extent necessary; the remaining Terms continue. A delay in enforcing a right is not a waiver. We may update these Terms prospectively by publishing a revised version and date; the terms accepted at purchase continue to govern that completed transaction unless law requires otherwise.
